A successful example is our project with the GBA Group, where we linked our eProcurement solution ComfortMarket with the document management system DocuWare. The goal was to automate the invoice verification process and significantly reduce the manual workload in order and approval procedures.

The Challenge: Information Gaps in the Invoice Verification Process

In many companies, purchasing and invoice processes run across separate systems that often do not communicate effectively. This results in time-consuming manual reviews, duplicated data entries, and a lack of transparency. The GBA Group faced precisely this challenge: orders were processed in ComfortMarket, while invoice verification was handled in DocuWare without a direct connection between the systems — until now.

The Solution: A Tailored Interface

To optimize processes, we developed a custom interface that automatically transfers order and goods receipt data to DocuWare.

✔ Automatic Order Transmission: As soon as an order is sent to the supplier, it is simultaneously recorded in DocuWare.

✔ Synchronization of Goods Receipts: Every goods receipt booking is transmitted in real-time, including the “Goods Receipt Completed Yes/No” status.

✔ Seamless Traceability: All data is immediately available in both systems, reducing errors and speeding up approval processes.

The Result: Faster Processes, Less Effort

The new interface ensures that orders and goods receipts seamlessly feed into the invoice verification process. Manual data entry was significantly reduced, error sources minimized, and process durations shortened. For the GBA Group, this translates to increased efficiency, better transparency, and higher data quality.
